About the Role

The Office Coordinator coordinates and implements daily operations, administration, and general office procedures to ensure processes and duties in the organisation flow efficiently. This position is often the first point of contact for clients and visitors to DFSGL and includes significant liaison with clients and volunteers.

Requirements

Coordinates the daily operations of the DFSGL office.

• Performs reception duties, acting as first point of contact for clients and visitors.

• Coordinates attendance of volunteers and clients at the boutique as required, using electronic scheduling programs including Calendly and Volgistics.

• Liaises with the DFSGL Director of Operations (dotted line reporting) and Programme Manager (solid line reporting) to coordinate on and off-site bookings.

• Contacts and liaises with volunteers, clients, referral agencies, not for profit organisations and corporate organisations via email and telephone as required.

• Coordinates the day-to-day operations of the Careers Program including liaison with volunteers, facilitators and clients, collating client feedback and using electronic scheduling programs including Calendly.

• Develops, implements, and manages office administration procedures and policies.

• Completes various administration tasks such as filing, document preparation, data entry, report preparation, maintaining statistics and responding to phone calls, emails, and general enquiries.

• Schedules and coordinates appointments, meetings and events and setting up meeting / event venues.

• Coordinates data collection and statistics for reporting purposes.

• Maintains the ongoing organisation, cleanliness and tidiness of the building.

• Coordinates building maintenance and asset management.

• Assists with marketing including updating the DFSGL website (Wix) using the content management system and producing marketing content using Canva.

• Acts as a workplace first aid officer.

• Enacts and promotes DFSGL values and ethos in all behavior, relationships, and communication.

• Demonstrates a commitment to DFS policies and procedures, relevant Occupational Safety and Health, Equal Opportunity legislation and continuous improvement of procedures and processes.
